QuickBooks Desktop Tips How To Pay a Credit Card Invoice

When you receive an invoice from your credit card company, it’s important to pay the invoice quickly so that you can avoid incurring late fees and interest charges. However, as you’re aware, QuickBooks Desktop doesn’t include specific features for tracking credit card expenses and payments — the application only includes invoicing and expense-tracking features.

If you want to use QuickBooks Desktop to record credit card transactions and pay the credit card invoices that you receive, you’ll need to do a bit of manual data entry.

Click on the credit card account

You can access your credit card account by clicking on the Accounts tab at the top of the screen, then selecting Credit Cards from the drop-down menu. Once you’re in your credit card account, click on the Invoices tab. This will bring up a list of all outstanding invoices for your credit card. To pay an invoice, simply click on the Pay button next to the invoice.

You’ll be prompted to enter a payment method and amount. Once you’ve entered that information, click OK to process the payment. The system will automatically charge the appropriate fee for this transaction, so don’t worry about entering any additional fees. The transaction will now show as Paid on your QuickBooks desktop dashboard.

View the transactions

When you open QuickBooks, go to the Banking menu and then select Credit Cards. Find the account you want to pay and click on it. This will bring up a list of all transactions for that account. Find the invoice you want to pay and click on it. On the right side of the screen, you will see the Payment button. Click on this and enter the amount you want to pay.

Then click OK. If there are any other payments or charges, they will be listed in the Transaction Detail box at the bottom of the screen. You can quickly scroll through them by clicking on Prev and Next until you find what you’re looking for. Once you find it, click on it to view its details just like with an invoice.

  1. Log in to QuickBooks and open your company file.
  2. Click on the Vendors menu and then select Pay Bills.
  3. Select the credit card account you want to pay from the drop-down menu.
  4. Enter the amount you want to pay in the Payment field.
  5. Choose the payment method from the drop-down menu (e.g., check, cash, or credit card).
  6. If you’re paying by check, enter the check number in the Reference No. field.
  7. Click Save & Close to record the payment.

Enter an amount greater than zero

You can make a payment on your credit card invoice in QuickBooks Desktop by following these steps

  1. Go to the Customers menu and select Enter Credit Card Charges.
  2. Select the credit card account you want to make a payment on from the Account drop-down menu.
  3. Enter the amount you want to pay in the Payment field.
  4. Choose the date of the payment from the Payment Date drop-down menu.
  5. If you want to apply the payment to a specific invo ices, enter the invoice number in the Apply To field or choose one of the following options
  6. A) Make this payment only,
  7. B) Apply this payment to all open balances for this credit card account, or
  8. C) Apply this payment as a deposit toward any open balance.
  9. Click Save & Close when finished making your changes.

Select an invoice from the list

You can pay an invoice in QuickBooks Desktop by selecting the invoices icon at the top, then choosing the invoice you want to pay from the list. To make a payment, click the Pay button at the bottom of the screen. Enter the amount you want to pay and select the account you want to use to make the payment. Click OK to save your changes. Once the transaction is complete, you’ll see it as an open invoice on your Open Invoices tab.

A credit will appear against your statement balance

If you’re using QuickBooks Desktop, you can pay your credit card bill just like any other vendor bill. Simply open up the software and navigate to the Vendors tab. Then, find the credit card bill you’d like to pay and click on it. You’ll be given the option to pay the full amount or partial amount of the bill. Choose whichever option you prefer and then follow the prompts to complete the payment. Once the transaction is completed, you’ll see that the balance will be reduced by either the full or partial amount that was paid.
